ESQHA General Membership Meeting

 

President Regina Kernin called the membership meeting to order on November 5, 2006 at 11:05 a.m. at the Holiday Inn, Waterloo, NY. Those directors present were Gayle Farr-Moore, Tom Hatch, Linda Connors, Charlotte & Larry Jaynes, Ginger Tomassini, Lee Davidson, Sandy Burback, Ann Manion, Karen Kulha, Sylvia Farr, Patti Hole, Gene & Wendy Bingman, Dan Bergstresser and Dave Phillips. Those directors absent were Andy & Cathy Damiano, Ed Brenkus and Rick Kenyon.

 

Members in attendance were introduced.

 

Minutes of the October 1, 2007 meeting were approved with corrections.

 

TreasurerÕs report showed an ending balance of $56,272.79 as of 10/31/06. It was noted that profit from the fall show should be around $15,000.

 

Correspondence:

¯    Equestrian promotions is sponsoring Horse World Expo which will be held at three locations in the northeast and will be at the Empire Expo Center (State Fairgrounds) in Syracuse on May 11-13, 2007. Vendor space is available in the Center of Progress building.

 

At this point Regina turned the meeting over to Gayle Farr-Moore.

 

Committee Reports:

            Convention: The dates are January 19-20, 2007 at the Holiday Inn Waterloo. Rooms will cost $68. The menu is being planned. Cathy asked directors if they felt it necessary to hire a photographer. After discussion it was the consensus not to hire a professional photographer, but an area will be available in the hall for private photos to be taken. Digital photos can be sent to Tom for inclusion on the website.

 

            Awards: Regina has started to make calls to the award winners. Results from the open show and trail riding promotions have not yet been received.

 

            Directory: Information concerning the directory was sent out in the October newsletter.

 

            Newsletter: There were 322 newsletters printed for October at a cost of $721.48, postage was $82.82 for a total cost of $804.30. The October newsletter consisted of 28 pages and one insert.

 

            Spring show: Charlotte asked the Board to approve a new format for the spring shows. The committee would like to eliminate the split-combined, have two full show days on Saturday and Sunday. Instead of a special event, the committee would like to request a third show from AQHA which would be held on Friday. A motion was made to eliminate the split-combined format, go to two full show days and request a third show from AQHA. Motion seconded and carried. The Chemung Horse Council has allowed us to keep our dates of May 18 and 19, 2007 and Charlotte will request the same from AQHA. Cathy Reetz requested a financial report from 2006.

 

            Fall show: Jennifer Hoyt requested that we consider dual approved reining at the fall show for 2007. The reiners would like to have open, amateur and youth reinings. The reining club would donate $250 for prize money, and in exchange would like to have a full page ad in our directory. Regina will talk to Brian Maxwell about the offer to donate money and the request will go to the show committee for consideration. Any suggestions for judges should be sent to Charlotte, who will begin hiring immediately.

 

            Novice show: No arrangements have been made at this time. Sandy Burback offered to contact Julie Young and reserve July 22, 2007 at her farm. AQHA will be contacted after the first of the year to request that date.

 

            Region 5 show: The financial statement shows a profit of $5,178.85 for 2006. The dates for the 2007 show will be July 26-29 in Virginia.

 

            AIM: Our workshop was held on November 4, 2006 for 2007 objectives.

 

Ginger Tomassini took our booth to the Versatility Ranch Horse Competition on October 28 and 29 at Cazenovia College and was well received. Roger Fenimore and Bart Bednarek helped out. Our sponsorship was acknowledged throughout the weekend. Ginger noted that there are a couple repairs needed on the booth and perhaps the cost could be part of our grant request. Ginger has also volunteered to be responsible for storing the booth.

 

            Marketing: Scott Perkins suggested our members take advantage of the offer from Randall Farnsworth to test drive a vehicle and be reimbursed for their gas to drive to his dealership in Canandaigua. This will help keep the dealer interested in our organization and to possibly become a sponsor of our horse show.

 

            Membership: Ginger received a membership at the Ranch Horse competition at Cazenovia.

 

            Finance: A proposed budget for 2007 was distributed. Any changes should be forwarded to Ed prior to the December meeting.

 

            Promotion/Trail Riding: Dave Phillips reported that the show reports and trail riding log sheets should have been postmarked October 31st to qualify for a year-end award. Dave will encourage Kathy Stoll to get the results to the awards committee ASAP.

 

            NYS Horse Breeders: Kim Connors advised that any changes or suggestions for the 2007 Breeders show should be given to her. Tentative dates for the show are May 17-20 for section 1 and May 24-28 for section 2. The Quarter Horses are tentatively scheduled for May 26-28. Suggestions given to Kim have been to run the select classes before the corresponding amateur classes, move the Palomino classes onto the Quarter Horse dates and move the Paint classes where the Palomino classes were, and give more prizes to the Quarter Horse classes, i.e. high-point awards for Western and English horses in each of the divisions. The Breeders would like to have a dual-approved AQHA/NRHA reining. They would like us to donate $250 to sponsor either the open or amateur reining class.

 

 

            Chemung Horse Council: The footing is being redone again. Discussion ensued concerning the type of footing needed and how to eliminate specific drainage problems.

 

            Ride 2006: Lee Davidson gave a financial report on the ride. After expenses were met he showed a profit of $62.71. Twenty-two riders enjoyed the food, the ride and the raffle. Lee would like to move the location for 2007. Linda Connors suggested contacting LehmanÕs in Pittsford as a possible start location for a ride in Mendon Ponds Park. September 9th was suggested as a possible date. Any other ideas for dates should be given to Lee.

 

            Website: Year-end points are up and the convention date and location have been posted.

 

No other committee reports were made. Motion was made to accept the committee reports, seconded and carried.

 

Old Business:

¯    All people nominated for the Board who were not at the last meeting were contacted by Regina. Gene Bingman and Dave Phillips accepted the nomination, Cathy Damiano declined.

¯    The year 2007 is a roll year for show dates. Regina prepared a list of shows in NY and PA to try and pinpoint any conflicts. Linda ConnorsÕ Klassic show has merged with the ŌHitsĶ shows in Saugerties. It appears that we will be able to keep our spring show dates at Horseheads pending AQHA approval.

¯    Ten people will be attending the Affililate Workshop in Amarillo in February 2007. AQHA will take of expenses for Gayle Farr Moore, Lee Davidson, Melissa Butler and Tom Hatch. Mary Davidson, Charles Butler, Regina Kernin, Karen Kulha, and the Jaynes will finance their own trips.

¯    There was more discussion about consolidating a few months of the newsletter, but no action was taken. Comments were heard concerning late information, lack of content and the need to sell more advertising. Susan McPherson offered to submit informational articles to the newsletter. A motion was made to form a communications committee to oversee the newsletter, website and directory. Motion seconded and carried.

¯    After reviewing the Lothlorian Gala invitation, it was noted that a request for donation was made and should be put on DecemberÕs agenda before the budget is finalized.

¯    The December 3rd meeting is our traditional Christmas meeting and discussion was held concerning the cost of the luncheon. A motion was made to have members pay $15 and the balance paid by ESQHA, seconded and carried.

 

New Business:

¯    Kim Connors outlined the benefits we would receive for our $250 reining class sponsorship, including a box seat in the coliseum for our directors, a thank-you ad in the program, announcements throughout the show and the ability to hang our banner. A motion was made to sponsor the dual-approved reining class at the Breeders show in the amount of $250, seconded and carried.

¯    Gayle Farr Moore intends to go to the AQHA convention on her own without ESQHA sponsorship.

¯    Proposed meeting dates for 2007 are January 20th at the Holiday Inn Waterloo; February 18th and March 11th. There was a discussion concerning meeting locations and the cost involved. Directors were asked to look into different venues and give suggestions to Cathy Reetz.

¯    The Genesee Valley Equine Clinic located at 925 Chili-Scottsville Rd. in Scottsville, NY will conduct a horse health seminar on February 3, 2007. A motion was made to purchase a $50 half-table display, seconded and carried. Dave Phillips volunteered to work at this seminar.

¯    A motion was made to purchase an ad in the WNYQHC directory at a cost of $65, seconded and carried.

¯    A motion was made to add a year-end award for a yearling longe line class in 2007, seconded and carried.

¯    Upon receipt of notice from the AQHA, the Board of Directors and all officers read the provisions of the AQHA Affiliate Agreement and understand the Affiliate AssociationÕs responsibilities. A motion was made to renew the Affiliation Agreement for a term of 2007 to 2008, seconded and carried. Regina Kernin signed the agreement as president, Catherine Reetz signed the affirmation of renewal and the documents will be forwarded to AQHA.
